I am the treasurer for Northwest Killies and it is my responsibility to
manage the information collected at the club auctions. I am trying to put
together a File Maker Database that will allow me to have:
Member #
Lot #
Category
Genus
Species
Subspecies
Collection Code
Winning Bidder
Amount Bid
I would like to be able to have a Database set up where the seller could
bring up the item for the auction and I could enter it in based on the
criteria up above. For the Categories, I hope to have a pull down menu to
select from Killies, Plants, Books/magazines, and Misc.
For the names of the Fish, I would like to be able to have a pull down menu
for Genus, species, subspecies, and collection code to select from. This
would assure proper spelling.
I then want to be able to create a report based on each member # on what
they sold/purchased.
Also be able to have it calculate in the club split. I also hope to create
a report for making labels with all of the above information.
The last thing would to be able to have an easy screen that I could simply
type in the member #, the lot #. the winning bidder, and amount bid and have
it automatically enter that data in the correct places for the calculations.
Sounds simple huh? It does to me except that I have very little skills with
File Maker.
So, does anything like this already exist out there for any of the clubs? If
so, is this something that could be shared with our club? Would we be able
to purchase the rights to use it? If it doesn't exist, is there anyone with
File Maker skills that would want to create something like this and donate
it to our (and other) clubs? If a donation is not possible, could it be done
for a modest fee?
I am completely overwhelming myself with our current system which consists
of everyone hand writing their entries on paper, then having me use those
pages to record the auction info. I can't keep up with the auctioneer and
the calculating of the balances is overwhelming.
